Job Summary
This position will provide high-level executive support to the Chief Executive Officer (CEO) for professional matters. The Executive Assistant serves as the primary point of contact for internal and external clients on all matters. The Executive Assistant must be able to handle a variety of activities and confidential matters with discretion in a fast-paced environment and adhere to timelines. The Executive Assistant must have strong verbal/written communication skills, be highly organized, able to work collaboratively in a team environment and maintain a professional demeanor.
Primary Responsibilities:
- Manage an active calendar/appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
- Work closely and effectively with the CEO to keep well informed of upcoming commitments and responsibilities, following up appropriately.
- Work closely with all internal teams and support staff to ensure they have appropriate support of the CEO and collaborate with internal stakeholders to develop effective solutions.
- Directs email to appropriate internal staff with instructions and/or suggestions for preparation of a reply. Determines which correspondence can be handled by self and takes initiative in drafting responses for the CEO’s signature based on knowledge of his activities, interests, priorities and issues.
- Plans, coordinates and ensures the schedule is followed and respected. Screens incoming calls, determining the nature of the call and determining whether it requires the attention of the CEO.
- Provides background information, meeting summaries and/or supporting documents in preparation for scheduled appointments, meetings, speaking engagements, and maintains and tracks detailed priority lists of projects and engagements.
- Communicates directly, and on behalf of the CEO, with the Executive Committee, Leadership Team, and Board Members.
- Assist with any personal projects, tasks, details, communication, etc.
- Maintain strict confidentiality on all matters with poise, tact and diplomacy.
Qualifications:
- Bachelor’s degree preferred.
- High-level executive administration support experience.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook, Teams, SharePoint) required.
- Commitment to Trillium’s Mission and Values.
- Experience in financial services and/or sustainable investing preferred.
- Ability to maintain confidentiality on all matters at all times.
- Strong organizational and time management skills.
- Ability to multi-task, prioritize, and meet deadlines.
- Exhibit critical thinking skills – ability to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches in order to resolve problems.
- Ability to build relationships through positive and open communication.
- Adaptable to a variable schedule based on events and business needs.
